THE CLIENT:

The client is a nonprofit that offers mental health services to children. With a focus on education, employment, and quality care, this client enhances the well-being of its community while shaping a strong future. They are proud to adhere to rigorous standards of excellence while providing children and families in their service state with foster care, adoption, and behavioral health services.

THE BUSINESS NEED:

The client has an intranet used by staff for internal communications, resources, and more. As this non-profit is dedicated to constant improvement and employee feedback, one primary use for the intranet is employee submission of suggestions.

Employees can submit suggestions to various committees either as themselves or anonymously. These suggestions are collected with the intention of improving work experience, increasing positive client outcomes, and meeting performance and satisfaction goals of the organization.

Their current intranet was simple, and they wanted some upgrades that would introduce a workflow, engage employees, and allow for responses to be shared among staff instead of just the submitter.

WHAT GENECA DID:

Geneca worked with the business to design a workflow that fit into the organization’s current intranet framework. Building off the current submission process, we developed a user-friendly way to respond to suggestions, share responses, and manage posts in a way that felt familiar to existing users.

We coded for the system to send email notifications to users depending on their role. We also allowed for HR users to respond not only directly to the submitter, but to elect to post and share that information with other employees who might be interested.

Users can filter and search those posts to find ones that are relevant to their department or pertaining to a specific topic. We also added the ability to automatically archive posts after a certain period, keeping the main page up to date without relying on HR action.  

THE RESULTS:

Small updates added big value for this nonprofit client! Taking a one-dimensional page and modeling it after a blog fosters more interaction for all user types.

Adding and automating a workflow for employee suggestions makes it easier for departments to gather feedback, respond to it, and, ultimately, implement action to improve employee satisfaction and client outcomes.

The new ability to share suggestions and their responses allows for improved communication across the organization and encourages more users to visit the intranet and submit their own suggestions for innovation and continued growth. Committee members are notified immediately of new suggestions and staff knows when someone has responded to a submission. It also enables administrators to track who has responded to which suggestions and when.

The client is already thinking of additional upgrades they want to introduce in the future, and these recent improvements help to support their reverence for employee feedback and organizational change to always continue to provide the best services and experiences possible.
